Already managing grants? Let us help.
You know how difficult and time-consuming this process is. grantmanager.ai helps you discover opportunities, and gives your auditors, partners and finance team one record to rely on, with each person seeing only what they should.
Audit
- A person attests a period and an approver signs it off, after which it locks. Corrections appear only as new, audited entries.
- Late time entries are visibly flagged. AI never generates or back-fills narrative or durations.
- Each claim is frozen as a hashed, immutable snapshot with an evidence index.
- A time-limited, read-only auditor view gives a schedule of eligible expenditure with sampling per category, tracing a figure to timesheets, payroll records, ledger lines and hashed documents.
Consortia
- The consortium is a core object. Each organisation is its own tenant, and a project spans tenants only through explicit membership.
- Partner rates and costs stay confidential from other partners. A coordinator sees only what each partner has released.
- Cluster and funded baselines are held separately, because national funded scope can differ from the cluster plan.
- Governance calendar, minutes, actions, change requests and partners joining or leaving are in a Consortium Tools module.
FEC and cost models
- The product does not recalculate FEC. Universities and RTOs import totals per category and period, with evidence, and these are validated against funder rules.
- SME labour and overheads are computed by code from the funder template.
- Effort is held in days or person-months. Accrued and defrayed dates are separate, in an append-only ledger.
- Costs sync from your accounting or finance system, or arrive through a published CSV format, an import API or a mapped export, with preview and duplicate-safe re-import.
Control
- Nothing goes to a funder until a person approves it, and entry in the funder's portal stays a human step.
- Digital Tactics staff have no access by default. A tenant admin grants time-limited access, and every action under it is logged and visible to the tenant.
- The app, the command line and any script use one documented API, with the same permissions, scoped tokens and audit trail.
- Modules are switched per tenant, and data stays intact when a module is switched off and on again.
Worth checking with your funder and accountant
- Whether they accept redacted bank statements, and in what form. Originals stay available to an auditor you grant access.
- The retention period that applies to your award. Retention is set per funder.
What it works alongside
- Not a finance system. It works alongside yours and holds a ledger of allocations to grants.
- Not a full project management tool. Boards are deliberately simple, and can sync with what you already use.
- Not an adviser. It gives no legal or accountancy advice, and consortium guidance stops short of legal advice.
- Not connected to any funder system. Outputs are documents and copy-ready text.
