Run your grant from first idea to final claim, in one place.

Stop chasing grant work through separate documents, trackers and portals. grantmanager.ai keeps it in one record, with every claimed figure linked to its evidence. We built it for our own use, based on the tools and processes we use in the business every day, and now we are opening it up to you.

One record for

  • The plan
  • Your time
  • Your costs and receipts
  • Your claims
  • Your reports
  • Your results

Less chasing, more of a record you can stand behind

Works with the systems you already run

Sync with your accounting system

Your costs flow in from the accounts you already keep, so claims and reports start from your real figures and reporting gets easier.

Sync with your project management tools

Your team keeps working where it already works, and tasks stay in step with the grant plan, so managing the project gets easier. Confidential cost data never syncs.

Where did that figure come from?

Suppose someone asks, a year from now, who approved the time behind a claimed figure. Where would you look, and who else would know?

Timesheets and receipts pieced together later make weak evidence, and funder rules may need them to stand up for years. grantmanager.ai links each claim to its evidence as the work happens, so the answer is one click away.

You do not have to begin at the beginning. Bring in a project at whatever stage it has reached, by manual entry or import.

  1. A line on a claimLabour, for one person, in one claim period.
  2. Time entriesRecorded as the work happened, and confirmed by that person.
  3. ApprovalSigned off by a named approver, then locked. Corrections are new entries.
  4. Rate and totalComputed by code, and visible only to that partner.
  5. Source recordsLedger lines and documents, each linked and hashed.

The whole life of a grant, said two ways

One record follows your grant through all six stages. Read whichever column suits you.

  1. Idea

    In plain words

Discover funding calls that suit your idea, and work out which are worth weeks of your time.

    For research offices

Calls are tracked and deduplicated; company facts are held with their sources.

  2. Application

    In plain words

Draft your answers from your own evidence, inside the funder's word limits.

    For research offices

Limits are checked exactly by code; every evidence claim links to a source or stays open.

  3. Award

    In plain words

Turn your offer letter into a clear list of what you have agreed to do, and by when.

    For research offices

Obligations are cited to their clause and confirmed by a person into a commitments register.

  4. Delivery and claims

    In plain words

Record your time as you work, keep each receipt with its cost, and see where every claimed figure came from.

    For research offices

Time is attested, approved and locked; costs sit in an append-only ledger; figures are computed by code.

  5. Reporting

    In plain words

Write progress reports from what is already on record, then check them and send them yourself.

    For research offices

Reports and meeting packs draw on one baseline, registers and claim position, with approval before sharing.

  6. Dissemination

    In plain words

Share what the project found, and keep track of what you promised to share.

    For research offices

Planned outputs are tracked against commitments, with open-access status recorded against funder rules.

Take only what you need

The core works alone, and you switch on each module when your work calls for it.

Core

Always on. Works by itself.

  • Organisations, consortium projects and roles
  • Secure file upload and the evidence store
  • Project baselines
  • Risk, issue and action registers
  • Simple boards for planning work
  • Notifications and reminders
  • A documented API and admin command line

Optional modules

You stay in control

Time is recorded as the work happens.
A person confirms their own time, and an approver signs it off. AI never writes or back-fills a timesheet.
People approve everything.
Nothing goes to a funder, a partner or an auditor until a named person has approved it.
AI never submits.
The output is a document and text ready to copy. A person enters it in the funder's system.
A claim links to evidence.
A cost claim traces to its time entries, ledger lines and documents. A statement of fact links to its source, or is marked as open.
Figures are computed by code.
Totals, rates and limits come from deterministic code. AI may help with wording, never with arithmetic.
You choose UK or EU data location.
Each organisation picks where its data and AI processing live, and it is designed to stay there.
Digital Tactics has no access to your data by default.
Digital Tactics also applies for grants, so its staff get only time-limited, logged access that you choose to grant.
